EKISTICS is looking for an adaptable, energetic administration professional to join our fast-paced Vancouver design studio as the welcoming face of our company. Supporting 40+ people within a design studio environment, this person is the face and heart EKISTICS and an integral member of our team. The ideal candidate is friendly, confident, and a born communicator with a desire to get to know and help those around them.

ABOUT THE ROLE
This position is about 25% reception and 75% office coordination + administrative assistance. No two days will be identical, but your primary responsibilities include the following:
Reception: “the face of the company”
- Responsible for opening + closing of the studio
- First point of contact with our clients via our phone and through our front door
- Answer, screen, direct or message calls for 30+ people using multi-line phone system
- Manage several calendars including vacation schedules; sick-day notifications boardroom bookings, etc.
- Arrange couriers and coordinate all mails
- Organize + maintain the office spaces and equipment in good daily working order
Administration: “the operations centre”
- Keep track of inventory + place office supply orders
- Administer petty cash + submit expense claims
- Administer conference line, photocopier, and new project codes, as needed
- Administer office-wide vendor contracts, invoices and cost allocations
- Administer IT service provider contract, office-wide IT incident tickets, and office-wide IT improvements
- Main point of contact for IT service provider and general IT approvals
- Perform reconciliation for bank account and expenses for office-wide purchases and printer usage
- Maintain security awareness + enforce security protocols
Coordination: “the social organizer”
- Administer on-boarding and off-boarding of employees
- Administer employees’ personal information, employee Group benefit enrollment, employee forms and HR policy manual
- Administer office keys, staff parking calendar, and kitchen duties calendar
- Organize staff birthday cards, celebrations, happy hours + lunch & learns

- Detailed + Organized: Extremely organized and efficient. Excellent time management skills, high attention to detail and punctuality are critical.
- Tech-savvy: Proficiency with Microsoft Office is required.
- Team Player: Ready to jump in and ensure the studio functions at a high level. Proactively adjusts tasks and scheduling based on priorities.
- Experienced: Demonstrated experience providing phone and administrative support for a busy professional office. Confident in taking on new challenges and executes work with minimal direction.
